Stallholder Information Pack for the Leeds Print Fair – Winter

Terms and Conditions

VENUE, DATE AND TIMES

  • Holy Trinity Church, Boar Lane, Leeds, LS1 6HW

  • Saturday 17th November 10am–4pm

  • Set up time is from 9:00am to 10am and pack down time is from 4pm to 5:30pm.

THE DAY

Setup is from 9:00am and you can access Holy Trinity Church main entrance at the side opposite the steps going into the Trinity Leeds from Boar Lane. If you want to unload from your car then I advise you do a reconnoitre first. You can pull up on the pavement outside the main entrance while unloading but you cannot leave your car there as this area belongs to the Trinity Centre and serves as an emergency exit for the shopping centre.  Please unload and move your car to a near parking place, and then come back to set up. We will be unloading tables and boards via the main entrance from 8:00am. I advise you don’t set up till 9:00am.

You will be assigned a space on arrival. You will be responsible for the setup and pack down of your own space. You will be given your own 6ft x 2.5ft table and display board if ordered. Seating is not provided by ‘Leeds Print Fair’ but the church does have chairs it can provide if needed.

The Holy Trinity Church is open to the public from 10am, so we would really appreciate it if you have your stall set up by this time.

The display boards require a hook and chain hanging system which you will have to provide. Please get in contact if you need advice. We do have some spare sets if needed.

The display boards are 7ft tall by 3ft wide and you will share a board with the stall holder behind you. This will be equal to the length of your tables.

You are responsible for supervising your stall at all times during the event or giving authorisation for others to do this for you. The ‘Leeds Print Fair’and ‘Leeds City Parish’ will not be held responsible for any damage or loss of your property or valuables. We would suggest you do not leave any cash or valuables unattended.

Pack down is from 4:00pm. We will be packing up tables chairs and boards from 5:30pm to 6:30pm.

I and/or my co-organisers will be on-site during the Holy Trinity Church opening hours to help as needed.

STALL HOLDERS PLAN  May be amended nearer the date of the fair.

SELLING

We do not take any commission on sales and you will be responsible for providing payment facilities to your customers. Stallholders who use card readers for debit/credit cards can access the Holy Trinity Church wifi and most 3G and 4G carriers are accessible within the hall area.

GETTING THERE WITH YOUR STUFF

Holy Trinity Church is in a very central location so I recommend that you reconnoitre well before you decide how best to arrive and leave the venue.
The closest car park is Trinity Leeds Car Park  and the cheapest is Quarry Hill Car Park.
The Holy Trinity Church is not far from Leeds Train Station. So if you had a helper it would be possible to come by train.

HOUSEKEEPING AND PACKING UP

Your area must be kept tidy and organised at all times. No cables or other tripping hazards are permitted.
We only have access to the building until 6:30pm so please finish packing up around 5:30pm as the tables and boards are due to be collected at 6:00pm. Also, at the end of the day, can you please take all your accumulated rubbish home with you. I can provide black bin bags if needed.

TOILET FACILITIES are by the side entrance near the tea shop and require a key which can be collected from me. They are for the use of stallholders and staff only.

INSURANCE & SAFETY

Every reasonable precaution for health and safety has been provided for the event but ‘Leeds Print Fair’, ‘Arts@Trinity ltd.’ and ‘Leeds City Parish’ take no responsibility for personal injury to you or anyone visiting your stall who may be injured due to actions or by way of your stall set up, carried out by you and anyone running or connected with your stall.

Although the general public spaces within the Holy Trinity Church will be insured, you are responsible for your own public liability insurance. If you need PPL and PI insurance, you can do this by getting a-n Artist individual membership at https://www.a-n.co.uk/register-artist .
We take it on trust that you have this insurance.

YOUR FEE PAYMENT

Your fee* is used towards hire, marketing and other costs. We do greatly appreciate your prompt payment to help with this. The cost of your stalls includes:

  • Venue hire.
  • Hire of tables is (6′ x 2’6″) for Zone A & B.
  • Hire of display board is (7′ high x 3′ wide).
  • We will send you some posters and flyers after payment is made.
  • Placed advertising and promotion.
  • All other associated costs.
